India sourcing • 4–6 supplier quotes • verification • inspection

Your team on the
ground in India.

For international buyers in the UAE, UK, Europe, USA, Africa, and Asia who want to import from India without blind risk, THE TRUSTROUTES PVT. LTD. records your exact requirements, collects around 4 to 6 comparable supplier quotations, assists with authorized negotiation, physically verifies the supplier, inspects pre-dispatch cargo with photo and 10–12s video proof, and coordinates shipment for an agreed service commission or fee.

How It Works • 6-Stage Buyer Execution Workflow

From “I want to import from India” to verified dispatch.

Whether you need us to find a manufacturer from scratch or verify a supplier you already found, every mandate follows a structured, documented workflow.

STAGE 01

Record buyer requirement in writing

We document your exact product specification, quality grade, quantity, packaging, target price, destination port, delivery timeline, and compliance requirements in a structured buyer brief.

STAGE 02

Shortlist suppliers & collect 4–6 quotes

We identify suitable Indian manufacturers, mills, processors, or packhouses and collect around 4 to 6 comparable supplier quotations (where available and appropriate for the category).

STAGE 03

Compare quotes & negotiate with authorization

We present a side-by-side comparison of prices, specifications, MOQs, packaging, lead times, and commercial terms, and assist with price/term negotiation when authorized by you.

STAGE 04

Physical supplier verification & due diligence

Our India field team verifies business identity, GST/IEC credentials, and visits the factory, mill, or warehouse where agreed to confirm real operating presence and capacity.

STAGE 05

On-ground product inspection & video proof

We visit the production or loading site to inspect goods against the agreed inspection scope—checking visible quality, grading, moisture, weight, and packaging, and sharing photos plus 10–12s timestamped videos.

STAGE 06

Pre-dispatch spec check & shipment coordination

We maintain ongoing communication with the supplier, check that pre-dispatch goods match agreed specifications within the agreed inspection scope, and coordinate container loading and export workflow through dispatch.

On-Ground Field Verification

How our India team verifies & inspects on-ground.

SERVICE 01 / END-TO-END BUYER SOURCING (11-STEP SCOPE)

Source products, compare 4–6 quotes & manage suppliers in India.

We help international buyers source products across India—including commodities and manufactured goods outside our four principal export categories—acting as your accountable buyer-side representative:

✓ 1. Understanding and recording the buyer’s exact product, quality, quantity, packaging, target price, delivery, and compliance requirements

✓ 2. Identifying and shortlisting suitable Indian manufacturers, processors, farms, mills, or suppliers

✓ 3. Collecting multiple quotations from Indian suppliers — typically around 4 to 6 quotations when available and appropriate for the category

✓ 4. Comparing quotations, product specifications, commercial terms (FOB/CIF/Ex-Works), packaging options, lead times, and supplier readiness

✓ 5. Assisting with price and commercial negotiation on the buyer’s behalf when authorized by the buyer

✓ 6. Conducting supplier verification and ground-level due diligence (GST, IEC, business identity & facility checks)

✓ 7. Visiting the supplier, warehouse, factory, processing unit, or loading site to inspect products according to the agreed inspection scope

✓ 8. Sharing inspection photos, 10–12 second timestamped field videos, findings, and structured observations with the buyer

✓ 9. Maintaining ongoing communication and milestone follow-up with the supplier on the buyer’s behalf

✓ 10. Checking that the supplier’s pre-dispatch goods match the agreed specifications before dispatch, within the agreed inspection scope

✓ 11. Coordinating shipment/export workflow up to dispatch or delivery as agreed for a transparent, pre-agreed service commission or service fee

SERVICE 02 / STANDALONE VERIFICATION & INSPECTION

Already have an Indian supplier? Verify & inspect before you pay.

If you have already shortlisted an Indian manufacturer or exporter, appoint our field engineering team to verify their facility and inspect your cargo prior to releasing advance or balance payments:

✓ Physical visit to factory, mill, packhouse, or warehouse where agreed and feasible

✓ Business identity, GST, Importer-Exporter Code (IEC) & address consistency review

✓ Live observation of production machinery, hygiene, raw material & storage conditions

✓ Batch grading, moisture meter reading, weight per bag/carton & packaging checks

✓ Timestamped photo dossier & 10–12s field videos from agreed inspection checkpoints

✓ 20ft / 40ft FCL container cleanliness, tally count, stuffing & seal lock supervision

✓ Optional coordination of accredited third-party laboratory testing (SGS / Intertek / NABL) when required by buyer

WRITTEN REQUIREMENT & ACCEPTANCE RECORDING

Before any inspection or sourcing assignment begins, we record in writing: (a) target product specifications & tolerances, (b) sampling & inspection scope, (c) required photo/video evidence checkpoints, and (d) explicit buyer sign-off criteria before dispatch.

Trust, Transparency & Commercial Governance

Service Commitment, Money-Back Scope & Risk Disclosure

International B2B buyers value clear, honest boundaries over vague promises. Below is how THE TRUSTROUTES PVT. LTD. structures pre-dispatch verification accountability, service-fee refund eligibility, and post-dispatch ocean transit risk boundaries.

01 / PRE-DISPATCH VERIFICATION & SERVICE FEE COMMITMENT

Pre-Dispatch Specification Check & Service Fee Policy

Prior to cargo dispatch from the Indian factory, packhouse, or loading warehouse, our team checks that the goods match the buyer’s written specifications within the agreed inspection scope and shares timestamped photo and 10–12 second video reports for buyer review.

✓ Service Fee vs. Cargo Purchase Value: Where a money-back commitment is included in a signed buyer service agreement, it applies specifically to a refund or credit of THE TRUSTROUTES PVT. LTD.’s agreed service commission or inspection service fee if we fail to perform the agreed verification/inspection scope or materially misreport an observable parameter that was explicitly part of the written inspection checklist.

✓ Clear Commercial Distinction: Unless THE TRUSTROUTES PVT. LTD. is the Principal Exporter of Record under a direct export sales contract (with separate contractual warranty terms), our buyer-side sourcing/verification service fee does not function as a financial guarantee or insurance policy covering the third-party supplier’s cargo purchase price, ocean freight, or customs duties.

✓ Inspection Limitations: Visual and random-lot sampling inspections document observable conditions at the time of inspection. Chemical composition, pesticide residues (MRLs), microbiological safety, curcumin/purity levels, or hidden internal defects require accredited third-party laboratory testing (e.g., SGS / Intertek / NABL) expressly scoped by the buyer.

02 / POST-DISPATCH & TRANSIT RISK DISCLOSURE

Boundary Between Pre-Dispatch Inspection & Transit Liability

In international cross-border trade, responsibilities are divided between pre-shipment verification on the ground in India and physical cargo carriage across international waters or airspace:

✓ Pre-Dispatch Responsibility: Our verification and inspection responsibility covers on-ground due diligence, pre-dispatch quality/quantity observation within the agreed scope, and (where contracted) container stuffing and seal verification up to the point of dispatch/handover.

✓ Post-Dispatch & Ocean Transit Boundary: Once goods have been inspected, loaded, sealed, and dispatched or handed over to the shipping line, freight forwarder, port authority, or third-party carrier, THE TRUSTROUTES PVT. LTD. is not liable for loss, damage, temperature/reefer malfunction, moisture condensation during sea transit, vessel delay, port congestion, customs detention, or events occurring during ocean/air transit.

✓ Incoterms & Marine Insurance Recommendation: Post-dispatch risk transfer is governed by the agreed Incoterms 2020 (e.g., FOB, CFR, CIF) and the carrier’s Bill of Lading. We strongly advise all international buyers to secure comprehensive All-Risk Marine Cargo Insurance (and Reefer Breakdown coverage for perishable agro cargo) for every shipment.

COMMERCIAL & LEGAL REVIEW NOTICE

International Buyer Resource Center

Practical guides to importing from India safely.

Answers to the most important commercial and operational questions asked by importers in the UAE, UK, Europe, USA, Africa, and Asia before ordering from India.

GUIDE 01 / SUPPLIER DUE DILIGENCE

How to Verify an Indian Supplier Before Sending Advance Payment

Before transferring a TT deposit or opening an LC, confirm five fundamentals: (1) Active GST and DGFT Importer-Exporter Code (IEC) matching the bank account beneficiary name, (2) Whether the entity is an actual manufacturer/packhouse or an unverified trading broker, (3) Physical facility existence via an independent on-site visit, (4) Written product specification and packaging schedule attached to the Proforma Invoice, and (5) Mandatory pre-shipment inspection rights before final balance payment.

GUIDE 02 / QUOTATION BENCHMARKING

How to Compare 4–6 Indian Supplier Quotations Accurately

Never compare Indian supplier quotes on headline price alone. An abnormally low FOB quote often hides higher moisture content, higher broken percentage (in rice/spices), lighter bag GSM, uncalibrated onion sizes, or excluded port/THC/fumigation charges. Our 4–6 quotation comparison matrix normalizes every supplier offer across exact grade, net weight vs. gross weight, packaging material, production lead time, port of loading, and payment terms.

GUIDE 03 / PRE-SHIPMENT QUALITY CONTROL

What to Check During Pre-Shipment Inspection & Container Loading in India

A golden sample approved by courier does not guarantee bulk container quality. Effective pre-shipment inspection in India requires random lot sampling across finished bags/cartons at the warehouse, checking size/grade calibration, testing moisture levels, verifying net weight and private-label markings, inspecting empty container condition (no holes, odours, or damp floors), and recording the final high-security bolt seal number on camera.

GUIDE 04 / EXPORT COMPLIANCE

What Documents & Terms to Lock Before Dispatch from India

Ensure your purchase contract clearly specifies Incoterms 2020 (FOB, CFR, or CIF), port of loading (e.g., Nhava Sheva JNPT, Mundra, Chennai), latest date of shipment, and the exact document set required for customs clearance at your destination port: Commercial Invoice, Packing List, Bill of Lading (B/L), Certificate of Origin, Phytosanitary & Fumigation Certificates, and any buyer-mandated lab test reports.

Common questions

Before you appoint us.

Can The TrustRoutes Pvt. Ltd. collect multiple quotations from Indian suppliers for my product?

Yes. When you submit your product requirement, specification, and target volume, our procurement team identifies suitable Indian manufacturers or processors and typically collects around 4 to 6 comparable quotations (when available and appropriate for your product category) so you can compare pricing, specifications, lead times, and commercial terms.

How do you record buyer requirements and inspection scope?

Before starting supplier outreach or field inspection, we record your product specifications, quality tolerances, packaging requirements, acceptance criteria, and inspection checkpoints in writing. All on-ground inspections are performed against this agreed written scope and documented with photos, 10–12s videos, and structured inspection findings.

How does The TrustRoutes Pvt. Ltd. charge for sourcing, verification, and inspection services?

For our buyer-side sourcing, quotation comparison, supplier verification, pre-shipment inspection, supplier coordination, and shipment support services, we charge an agreed service commission or fixed service fee confirmed in writing before engagement. There are no hidden markups when we act as your disclosed buyer-side representative.

Can you physically visit my existing Indian supplier before I pay them?

Yes. Even if you found an Indian supplier independently on a trade directory or B2B portal, you can appoint us purely for physical supplier verification, pre-shipment quality inspection, or container loading supervision before you release advance or balance payments.

What are the limitations of physical verification and pre-shipment inspection?

On-ground verification and pre-shipment inspection significantly reduce information gaps by documenting observable facility conditions, lot samples, packaging, and container stuffing at the time of inspection. However, visual and sampling inspections cannot detect latent defects outside the agreed sampling/testing scope, and accredited third-party laboratory testing is recommended for chemical, microbiological, pesticide residue (MRL), or curcumin/purity guarantees.

How does your Money-Back Service Commitment work, and what about ocean transit risks?

As detailed in our Service Commitment & Risk Disclosure policy below, any agreed money-back commitment applies specifically to a refund of The TrustRoutes Pvt. Ltd.’s own service fee/commission if we fail to perform the agreed verification or pre-dispatch inspection scope (subject to formal contract terms). Once goods are inspected prior to dispatch and handed over to the shipping line, logistics provider, or carrier, transit risks, marine insurance claims, vessel delays, and customs clearance are governed by the shipment’s Incoterms, carrier Bill of Lading, and marine cargo insurance.
